Legal Secretary / Legal Assistant Position
We are seeking an experienced Legal Secretary/Legal Assistant to support an attorney specializing in commercial real estate development, including the ownership, operation, and management of retail and office properties. This position requires a highly organized, detail-oriented professional with substantial experience in commercial real estate transactions and the ability to work in a fast-paced, confidential legal environment.
The ideal candidate will present a polished, professional appearance, demonstrate strong communication skills, and possess a thorough understanding of real estate legal documentation and transactional processes.
Key Responsibilities
- Provide comprehensive administrative and legal support to an attorney specializing in commercial real estate development and property management.
- Prepare, revise, and proofread legal documents, including:
- Commercial retail and office leases
- Ground leases
- Purchase and sale agreements
- Amendments, assignments, and estoppels
- Development-related agreements and correspondence
- Coordinate and manage real estate transactions from contract through closing, including tracking deadlines and critical dates
- Maintain and organize legal files (physical and electronic) with strict attention to confidentiality
- Interface professionally with tenants, brokers, lenders, title companies, attorneys, and internal management staff
- Calendar management, scheduling meetings, and coordinating closings
- Handle correspondence, phone calls, and emails in a professional and courteous manner
- Assist with property-related matters for existing commercial retail and office developments
- Perform general administrative duties as needed in support of legal and real estate operations
Required Qualifications
- Minimum 3-5 years of experience as a legal secretary or legal assistant, with substantial experience in commercial real estate
- Demonstrated experience with real estate transactions:
- Commercial real estate purchases and sales
- Retail and office leasing
- Ground leases and related agreements
- Entitlement process
- Proficiency in Microsoft Office (Word, Excel, Outlook required; PowerPoint a plus)
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple transactions and deadlines simultaneously
- Professional demeanor with sound judgment and discretion

Preferred Qualifications (Not Required)
- Experience working with in-house legal departments for real estate developers or property owners
- Familiarity with commercial property management operations
